Job overview:
The Senior Executive Assistant will provide comprehensive executive support to the Chief People Officer, helping maximize the effectiveness, productivity, and impact of the People organization. This individual will operate with a high degree of professionalism, discretion, judgment, and autonomy while managing complex priorities across a global, fast-paced environment.
The ideal candidate is an experienced executive support professional who thrives in ambiguity, anticipates needs before they arise, and enjoys building structure, processes, and relationships across a dynamic organization.
Location: East Coast, United States (Remote).
Reports to: Chief People Officer.
Roles and responsibilities
(include but are not limited to):
Executive Support
- Manage the Chief People Officer's complex and frequently changing calendar (at times, across multiple time zones)
- Prioritize requests from Executive Team members, key stakeholders and scheduling demands to ensure alignment with business objectives and strategic priorities
- Coordinate domestic and international travel arrangements, including itineraries, logistics, and expense reporting
- Prepare meeting agendas, briefing materials, presentations, and follow-up documentation
- Track action items and ensure timely completion of deliverables and commitments
- Support the People Team LT, where needed, with administrative and coordination activities
Strategic Partnership
- Act as a trusted business partner to the CPO, helping manage priorities and advance key initiatives
- Anticipate issues, identify solutions, and proactively remove obstacles to execution
- Support planning and coordination of People Team objectives, leadership meetings, offsites, and key organizational initiatives
- Monitor critical deadlines and ensure appropriate follow-through across stakeholders
- Support People initiatives, including employee events across various hubs, HR communications, and the preparation of presentations and other materials
Executive Team & Board Support
- Coordinate materials and logistics related to Executive Team meetings and Board level Committee activities as required
- Assist with preparation of executive communications, presentations, reports, and leadership updates, which may involve drafting communications from the CPO and liaising with our in-house Communications team
- Support confidential projects involving organizational design, talent strategy, succession planning, and leadership initiatives
Stakeholder Management
- Serve as a primary point of contact for internal and external stakeholders interacting with the CPO
- Build strong relationships across the business and help facilitate effective communication and decision-making
- Partner closely with the Executive Assistant community to align priorities and coordinate executive activities
Operations & Administration
- Support budget tracking, purchase orders, and vendor coordination for the People function
- Manage contracts, invoices, and administrative workflows in partnership with the internal People team
- Improve and document processes to drive operational excellence and efficiency
- Maintain highly sensitive information with the utmost confidentiality and professionalism
Candidate profile:
Required
- 8+ years of executive support experience, including support of C-suite executives
- Experience supporting senior leaders within biotechnology, healthcare, life sciences, pharmaceutical, or high-growth organizations
- Exceptional organizational and project management skills
- Strong business acumen and ability to understand organizational priorities
- Excellent written and verbal communication skills
- Proven ability to manage multiple competing priorities with minimal supervision
- Ability to work at pace
- High degree of discretion and experience handling confidential information
- Advanced proficiency with Microsoft 365, including Outlook, Teams, PowerPoint, Excel, and Word
Preferred
- Experience supporting a Chief People Officer, Chief Human Resources Officer, or senior HR executive
- Experience working in a global environment with distributed teams
- Experience coordinating executive meetings, leadership offsites, and board-related activities
- Familiarity with HR processes, talent management, organizational development, and employee lifecycle practices
Compensation Description (annually):
Please note that the base salary range is a guideline, and individual total compensation will vary based on factors such as qualifications, skill level, competencies, and work location.
