Office Manager
Job Summary
The Office Manager is responsible for overseeing the day-to-day operations of the office, ensuring an efficient, well-organized, and professional working environment. The role directly report to the Managing director and supports administrative operations, coordinates HR-related activities, manages invoicing / procurement processes, and organizes company transportation and related logistics.
Key Responsibilities
Manage daily office operations and administrative activities.
Coordinate appointments, meetings, and calendars.
Manage office supplies, inventory, and procurement.
Coordinate the maintenance of office facilities and equipment.
Implement and continuously improve internal office procedures and processes.
Liaise with suppliers, service providers, and external partners.
Manage correspondence, filing, documentation, and administrative records.
Support HR activities, including employee onboarding, attendance tracking, and personnel documentation.
Support invoicing processes, including the review, recording, and tracking of incoming and outgoing invoices.
Organize and coordinate company transportation and related logistics.
Monitor office budgets, costs, and expenses.
Ensure compliance with company policies, procedures, and workplace safety regulations.
Requirements
Excellent command of French and English (B2+ / C1 minimum)
Proven experience as an Office Manager or in a similar administrative role.
Excellent organizational and multitasking skills.
Strong communication and interpersonal skills.
High proficiency in office suite and Microsoft tools.
Ability to manage budgets, expenses, and office resources.
Experience with invoicing and financial administrative processes.
Experience supporting HR activities and managing transportation/logistics is considered a plus.
Strong problem-solving skills and attention to detail.
Italian language is a strong advantage
Education
A Bachelor's degree in Business Administration, Management, Economics, or a related field is preferred

The position is based on a 40-hour working week, with 5 working days and 2 days off.
