About Weber Refrigeration and Heating

Weber Refrigeration and Heating is a full-service HVACR company serving southwestern Kansas, the Oklahoma and Texas Panhandle, and surrounding regions. Headquartered in Dodge City, Kansas, our expertise extends far beyond standard residential heating and cooling. We specialize in comprehensive refrigeration systems, commercial kitchen equipment, ice machines, and industrial HVACR systems including building automation, chillers, boilers, and controls.

Our team brings together hundreds of years of combined technical experience, supported by continuous training and development. This commitment to expertise empowers us to deliver rapid diagnostics, same-day service, and energy-efficient solutions to customers across diverse industries, including restaurants, supermarkets, hospitals, schools, and manufacturing facilities. As we continue to grow, we’re looking for skilled HVACR professionals who take pride in craftsmanship, problem-solving, and exceptional service.

Overview

The Bilingual Office & Parts Support Specialist is responsible for supporting Weber’s HVACR operation across the front office, the parts counter, and deliveries. This role answers phones, manages email and records, and keeps the office organized, while also serving as backup to the parts department and delivering parts and equipment as needed. As a bilingual team member, this person helps ensure clear communication with both English- and Spanish-speaking customers, vendors, and coworkers. This is an all-hands position — on any given day, this team member will move between the office, the parts counter, and the road based on where the operation needs support. Success in this position requires strong computer and communication skills, the ability to learn new systems quickly, and a willingness to jump in wherever help is needed.

Responsibilities

  • Answer and route incoming calls professionally, take accurate messages, and ensure timely follow-up with customers, vendors, and technicians
  • Communicate with Spanish- and English-speaking customers, vendors, and team members, and assist with translation as needed
  • Monitor and respond to email correspondence promptly and professionally
  • Enter and maintain customer information, work orders, and documentation accurately in company systems
  • Perform general administrative duties including filing, paperwork, and office organization
  • Back up the parts department by pulling, staging, and issuing parts to technicians
  • Receive incoming shipments, verify them against orders, and stock inventory
  • Assist in maintaining an organized and accurate parts inventory
  • Look up parts and information for technicians and customers, and support parts ordering as needed
  • Deliver parts and equipment to job sites, customers, and other locations using a company vehicle
  • Pick up parts and materials from local supply houses and vendors
  • Safely load, unload, and move parts and equipment
  • Collaborate with dispatch, service managers, technicians, and office staff to keep daily operations running efficiently
  • Learn and adapt to new software and systems as company processes evolve
  • Follow all company and job-site safety protocols
  • Perform other duties as assigned to support the HVACR operation

Qualifications

  • High school diploma or equivalent
  • Prior office, customer service, or parts counter experience preferred; HVAC experience not required
  • Proficient with computers, email, and basic Microsoft Office (Outlook, Word, Excel)
  • Ability to learn new systems and software quickly
  • Bilingual in English and Spanish (required)
  • Strong phone etiquette and communication skills
  • Organized and detail-oriented, with the ability to switch between tasks throughout the day
  • Valid Driver’s License with ability to pass company’s MVR requirements
  • Ability to lift up to 50 lbs. and adhere to all safety guidelines
