About the Role:

The IC Operations Manager plays a pivotal role in safeguarding the accuracy, integrity, and regulatory compliance of inventory management and quality assurance processes within a pharmaceutical fulfillment center. This is an operations position: the successful candidate will combine pharmacist-level judgment on product integrity, regulatory compliance, and RX handling with hands-on ownership of inbound receiving, stowing, inventory accuracy, and fulfillment center quality assurance.

Key Responsibilities:

Safety & Risk Management

• Partner with safety leadership teams to enhance processes and maintain a safe work environment for all associates

• Facilitate weekly safety meetings with IC leadership and hourly team members to identify risks within the fulfillment center

• Identify risks associated with inventory inconsistencies, product quality, or process inefficiencies, and formulate strategies to mitigate them while maintaining operational continuity

Inventory Control & Inbound Operations

• Own end-to-end inventory control, including inbound operations (receiving, inspection, and stowing) for pharmaceutical products

• Manage all receiving and storage functions across the facility

• Ensure inventory accuracy, lot traceability, and expiration and/or beyond use date across the fulfillment center

• Supervise inventory reconciliation, cycle counting, and audit procedures; identify and correct discrepancies and implement preventive measures

• Deploy inventory control strategies to optimize stock levels, minimize losses, and ensure accurate inventory counts

• Investigate root causes of inventory discrepancies using cause-and-effect analysis to resolve underlying issues

• Own and standardize the product catalog across all sites, resolving naming and classification gaps

• Monitor inventory metrics and KPIs to evaluate performance and identify areas for improvement

SOX Compliance

• Maintain thorough command of Sarbanes-Oxley Act (SOX) requirements as they apply to inventory operations

• Conduct and oversee quarterly SOX counts

• Build the counting schedule in alignment with parameters set by the Director of IC to meet SOX compliance count deadlines

Pharmacy Oversight Responsibility (only applicable if a pharmacist is hired)

• Provide direct pharmacist oversight of inventory-related functions, ensuring products meet pharmaceutical, safety, and handling standards

• Serve as the primary sign-off authority for purity checks and Certificates of Analysis (COAs), streamlining processes that currently pull pharmacists from other departments

• Responsible for NCR action completion and record keeping

• Streamline line catalog item creation ensuring standardized nomenclature across the network

• Formulate and execute inventory control protocols for pharmaceutical product receipt, storage, picking, packing, and shipping

• Perform routine inspections and quality audits to evaluate SOP adherence and inventory discrepancies

• Oversee all pharmacist tech workflow and operations within the receive and inventory functions of pharmacy fulfillment center

• Prepare internal reports supporting defect-injection improvement efforts for the pharmacy fulfillment center

• Oversee pharmacy technician trainees through registration, growing the internal technician pool available to Receiving, D&F, and Compounding

Team Leadership & People Development

• Lead a team of salaried area managers and up to 30 hourly associates

• Recruit, train, and develop IC personnel, providing coaching, feedback, and performance assessments to support their professional growth

• Set clear objectives and targets for the IC team, aligning their work with organizational goals

• Conduct shift scheduling and forecasting, and oversee task assignments to ensure adequate staffing against FC objectives

• Evaluate team performance, offering development, recognition, and guidance

• Promote a culture of accountability, teamwork, and continuous improvement across the IC team

• Build a structured growth path for IC Specialists, supporting pharm tech certification required for Rx receiving

Process Improvement & Cross-Functional Partnership

• Design and implement process optimization strategies to improve accuracy, throughput, and inventory turnover

• Lead or actively participate in continuous improvement projects, applying lean principles to streamline processes, reduce waste, and increase productivity

• Collaborate with cross-functional teams to instill inventory management best practices and drive continuous improvement initiatives

• Partner with logistics, compliance, and pharmacy operations to maintain chain-of-custody and traceability

• Represent IC in cross-site alignment on product data, sign-off processes, and inventory standards

Strategic Reporting

• Create and deliver strategic insights, performance metrics, and initiatives to executive leadership

• Communicate progress, obstacles, and strategic developments to leadership on an ongoing basis

• Monitor key inventory and quality metrics and lead corrective and preventive actions (CAPA) as needed

You Have:

Required

• Active Pharmacist license (RPh or PharmD) in good standing

• Thorough understanding of the Sarbanes-Oxley Act (SOX), including experience conducting or overseeing SOX counts

• Working knowledge of regulatory frameworks relevant to pharmaceutical distribution, including state board of pharmacy regulations, DEA/controlled substance handling, Good Distribution Practices (GDP), and Current Good Manufacturing Practices (CGMP)

• Strong analytical, root-cause, and risk management skills, with the ability to translate findings into process improvements

• Demonstrated ability to lead a team of salaried managers and hourly associates (up to ~30) in a fast-paced, high-volume environment

Preferred

• Prior experience in pharmaceutical operations, logistics, or inventory control

• Experience in a fulfillment center or distribution center environment

• Experience training or supervising pharmacy technicians

• Familiarity with lean principles and continuous improvement methodologies

• Demonstrated interest in people management, scheduling, and team leadership
