Job Description

About the Role

This role provides back-office operations and coordination support for AI demand generation, working with the Head of AI Field Enablement and AI Demand Generation. It owns the operational side of campaign delivery: HubSpot data quality, list and asset readiness, launch execution, and the reporting that shows what the activity produced.

Campaign strategy, targeting decisions, and messaging sit with the Head of AI Field Enablement and AI Demand Generation. This role turns that direction into clean data, visibility and tracking on executed campaigns, and accurate numbers. It pairs with the Enablement Operations Coordinator to ensure a smooth operational standard between Enablement and Demand Generation.

Coverage and Working Hours

Campaigns run into both North American and APJMEA markets, so this role is expected to provide coverage across both regions. Launches, list issues, and regional follow-up will fall outside standard Sri Lanka business hours on a regular basis.

A flexible working pattern is a firm requirement, not an occasional exception. Early starts to overlap with European mornings and late afternoons or evenings to overlap with North American hours should both be expected, with the specific pattern agreed in advance and balanced across the week so the total load stays sustainable.

Key Responsibilities

HubSpot data hygiene

  • Perform routine HubSpot maintenance to agreed standards: deduplication, required fields, lifecycle stages, ownership, and consistent naming across contacts, companies, and deals.
  • Run scheduled data audits, log exceptions, and follow up with record owners in both regions until they are corrected.
  • Build and maintain segmentation lists and suppression rules, and check them before every send.
  • Keep data standards and process documentation current, and answer day-to-day questions from the team on correct platform use.
  • Support consent, preference, and regional data handling requirements, escalating anything unclear rather than guessing.

Reporting and project administration

  • Produce recurring reports and dashboards to an agreed specification — campaign performance, lead volume and quality, pipeline contribution — and refresh them on schedule.
  • Assemble the weekly and monthly reporting packs the Head of AI Field Enablement and AI Demand Generation presents, and pull ad hoc data cuts on request.
  • Maintain campaign plans (Created by marketing + DG Lead), timelines, and trackers, and keep them accurate from week to week.
  • Run the administrative side of the operating cadence: agendas, minutes, action logs, and chasing owners to close items on time.
  • Track dependencies and handoffs with marketing, sales operations, and regional teams, and escalate delays early rather than absorbing them.

First-Year Success Measures

  • First 90 days: HubSpot maintenance routines running to a documented standard, the campaign calendar and tracker current, and a working coverage pattern established across both regions.
  • Six months: campaigns launching on schedule with clean lists and no repeat build errors, and recurring reporting produced on time without rework.
  • Twelve months: measurable improvement in HubSpot data quality, reliable lead routing and follow-up, campaign activity consistently delivered on time with minimal supervision, and reliable cover for enablement operations during absence.

    Ways of Working

    The role works directly to the Head of AI Field Enablement and AI Demand Generation, taking direction on priorities and owning the execution behind them. It is a support role with no direct reports, based in Sri Lanka.

    It works in close partnership with the Enablement Operations Coordinator. The two roles share standards, tooling, and reporting rhythm, and each is expected to provide cover for the other during absence or peak load.

    Qualifications

     

    • Two or more years in marketing operations, sales operations, campaign coordination, or a comparable business support role.
    • Hands-on experience in a CRM or marketing automation platform, including building lists, campaigns, and reports.
    • Strong data discipline and attention to detail, with a habit of checking before sending.
    • Track record of keeping plans, trackers, and recurring reporting accurate and on schedule across multiple stakeholders.
    • Willingness and availability to work a flexible schedule covering North American and European hours.
    • Strong written English and the habit of documenting decisions, actions, and status clearly.
    • A degree in business, marketing, information technology, or equivalent practical experience.
    • Hands-on HubSpot experience, particularly with lists, workflows, campaigns, and reporting.
    • Experience supporting a demand generation or revenue operations team in a B2B environment.
    • Familiarity with Microsoft 365 and Power BI or comparable reporting tools.
    • Working knowledge of AI and automation tools, and an interest in using them to reduce manual operational effort.
    • Prior experience working to a distributed team across multiple time zones.
