About the Role

We are seeking a proactive Maintenance & Facilities Assistant to support the smooth day-to-day running of our London office and conference facilities. This role is ideal for someone hands-on, organised, adaptable, and solutions-focused; someone who takes pride in maintaining high standards and enjoys being the go-to person for resolving maintenance and facilities issues.

You will work closely with the Facilities Manager and Maintenance Supervisor to ensure our buildings, workspaces, and client-facing facilities are maintained to the highest standards. The role involves a combination of planned maintenance, reactive repairs, health & safety responsibilities, and supporting wider operational needs across the business.

This is a varied role where no two days are the same. The successful candidate will be comfortable prioritising multiple requests, responding to urgent issues, and working both independently and collaboratively with contractors and internal stakeholders.

Key Responsibilities

  • Carry out daily inspections of office areas, ensuring all spaces are tidy, functional, and compliant with health & safety standards.

  • Respond promptly to maintenance requests and escalate issues where necessary.

  • Support with office moves, desk setups, deliveries, and general logistics.

  • Coordinate with external contractors and suppliers for maintenance and repair works.

  • Conduct basic repairs and minor installations (e.g., replacing bulbs, assembling furniture, adjusting fittings, minor plumbing and maintenance tasks).

  • Maintain accurate records of maintenance schedules and building compliance checks.

  • Ensure security systems, fire alarms, and emergency equipment are tested and functioning correctly.

  • Assist with setting up meeting rooms, conferences, events, and other operational activities.

  • Support the wider Centre Services, AV and Operations teams as required.

  • Identify maintenance issues proactively and take ownership of resolving them efficiently.

Essential

  • Previous experience in a facilities, maintenance, building services, or similar hands-on role.

  • Working knowledge of building maintenance, including basic plumbing, electrical, carpentry, or general repair work.

  • Strong problem-solving skills and ability to work independently.

  • Ability to prioritise multiple requests and respond effectively to urgent issues.

  • Excellent communication skills and ability to work collaboratively with a range of teams.

  • A flexible and proactive approach to work.

  • Reliable, punctual, and willing to take ownership of tasks through to completion.

  • Comfortable working in a client-facing, professional environment.

Desirable

  • Experience within a corporate office, hospitality, events, conference venue, or customer-facing environment.

  • Health & Safety awareness or related training.

  • Experience working alongside contractors and service providers.

  • Fire Marshal or First Aid certification.

Qualifications

Either:

  • Level 2 or above qualification in Facilities Services, Building Maintenance, Multi-Trade Repair, Plumbing, Carpentry & Joinery, Refurbishment Operations, or a related discipline.

Or:

  • Demonstrable hands-on experience in maintenance, facilities, plumbing, building services, or a similar trade-based environment.

We recognise that practical experience can be just as valuable as formal qualifications.

Working Arrangements

  • 5 days per week onsite at our Fleet Street office.

  • Shift pattern operates between 7:00am to 3:00pm or 11:00am to 7:00pm, depending on business requirements.

  • Flexibility is important, and occasional out-of-hours or weekend support may be required to meet operational needs.
