Job Description

The Information Management Technician is responsible for managing the technical configuration of the Information Management Modules within the Electronic Document and Records Management System (EDRMS) which manage the information resources lifecycle; provides significant technical support to clients (i.e., Library staff and managers from all service areas) related to the management of electronic information resources; develops and delivers technical training sessions to clients and recommends technical solutions.

The incumbent performs the following duties:

  • Participates in the development and use of institutional repositories, particularly EDRMS by managing the Records Management module within the Electronic Document and Records Management System (EDRMS) and developing business processes to facilitate the capture, control, maintenance, and disposition of information resources and IM metadata.
  • Provides significant technical support to clients (i.e., Library staff and managers from all service areas) related to the management of electronic information resources.
  • Develops and delivers technical training, develops supporting documentation, and provides support to users by providing them with advice, demonstrations, and instructions to ensure optimal and effective use of information management tools and repositories, such as EDRMS and Microsoft 365.
  • Conducts IM lifecycle management activities for electronic information resources within EDRMS (transfer, migration, reorganization, disposition, …) in all the Library’s electronic environments (Production, Development, and Test) to ensure compliance with the Information Management Policy.
  • Performs tests on new product upgrades (Modules/Features and Functionalities) and conducts User Acceptance Testing and documents test results in order to ensure successful implementation of product upgrade.

Qualifications

Education:  

  • Post-secondary education in a field relevant to the position, such as information systems, management information systems, or computer science, or an acceptable combination of education, training and relevant experience.

Experience:

  • A minimum of three (3) years of experience working with systems used for the management of electronic documents and records
  • Experience conducting system testing activities, including developing test cases, executing test plans, and documenting results
  • Experience providing technical guidance and support to end users within an Electronic Document and Records Management System (EDRMS)
  • Experience participating in projects or collaborating with stakeholders regarding the management of electronic documents and records
  • Experience working with Microsoft 365 products (e.g., OneDrive, MS Teams, SharePoint)
  • Experience working with tools such as OpenText Content Server 22 (GCdocs)

Knowledge:

  • Knowledge of legislation, policies, guidelines, and standards relevant to information management
  • Knowledge of principles, techniques and experience with complex systems used for the management of electronic Information Resources (such as an EDRMS) is required to support and participate in the implementation and effective use of information management tools, processes and practices within the system

Asset Criteria:

  • Experience implementing digital multimedia asset management systems and workflows

Conditions of Employment:

This selection process may include a second-language evaluation, a written exam, and an interview. The interview will consist of behavioural, situational and knowledge-based questions. Candidates will be required to pass each stage in order to move to the next stage of the selection process.
