MAIN JOB OBJECTIVE
The Regulatory Affairs Coordinator supports the day-to-day Operational Regulatory Affairs team in ensuring that fresh products meet all applicable regulatory requirements across global markets. Working under the direction of the Regulatory Affairs Senior Manager, this role coordinates submissions, supports compliance reviews for product packaging and claims, and maintains essential regulatory records, facilitating the adherence to market-specific requirements.
Job Description
JOB RESPONSIBILITIES
- Create ingredient listings and registration documentation (ie. Formulas, Specifications, CFS)
- Compile international registration documents and submit for relevant markets (EU, UK, USA, SEA, China)
- Complete registration notification process for new cosmetic formulas to be offered in USA, Canada, EU, UK.
- Maintain PIF completion tracker, partnering with key contacts to ensure all PIF documents are uploaded prior to product launch.
- Conduct first-pass review of packaging copy for compliance and flag issues.
- Review artworks against regulatory checklists to ensure global regulatory compliance
- Track updates to ingredient restrictions and maintain portfolio status in monitoring tool
- Support customer care with draft responses to regulatory/product inquiries
- Coordinate Cosmetovigilance activities, including case intake, tracking and follow up.
- Maintain templates, trackers, SOPs, and checklists.
- Escalate regulatory risks, gaps, and urgent issues to the Regulatory Affairs Senior Manager in a timely manner.
What you will learn in the first 6 months:
- Gain a comprehensive understanding of fresh’s internal regulatory processes, systems, and documentation workflows.
- Develop working knowledge of fresh’s global product portfolio and the regulatory requirements applicable across key markets.
- Meet cross-functional partners and start to build familiarity with collaboration processes.
- Learn how to manage and track global product registration timelines and documentation.
- Become proficient in artwork review.
What you will achieve in 12 months:
- Successful execution of registration requirements across all markets, meeting applicable timelines with minimal oversight.
- Contribute to process improvement initiatives within the Regulatory Affairs team, bringing forward proactive recommendations for more efficient ways of working.
Physical Requirements:
- Must be able to remain in a stationary position on average of 7.5 hours/day.
- Light to moderate lifting may be required.
- While performing the duties of this job, the employee may be regularly required to stand, sit, reach, stoop, kneel, and operate a computer, telephone, and keyboard.
Qualifications
PROFILE
You have:
- 0-2+ years of experience in Regulatory Affairs; cosmetics industry preferred
- Working knowledge of US, EU, and SEA Cosmetic Regulations
- Exceptional organizational skills and attention to detail
- Familiarity with other relevant non-cosmetic regulations (chemistry, packaging, environment, etc.)
- Strong project management skills
- Strong written and verbal communication skills
- Ambition to learn more, and a curious mindset
- Passion for the beauty and skincare industry
- A Sky’s the Limit mentality
- You have advanced skills in Microsoft Suite (Excel, Word, PowerPoint), Cognos, and Adobe
- Bachelor’s degree in a scientific field
- French and/or Mandarin language (preferred not required)

The salary range for this role is $70,000 - $90,000 USD.
This role is based in Jersey City, NJ.
