We are looking for a compassionate, organised, and customer-focused Client Care Assistant to join our practice. This is a fantastic opportunity for someone who enjoys working with people and animals and wants to play an important role within a busy veterinary practice.

The Role

As the first point of contact for our clients, you will be responsible for creating a positive experience from the moment they walk through the door or contact the practice. You will support the clinical team by ensuring the smooth day-to-day running of reception and administrative activities.

Key Responsibilities

Deliver exceptional customer service.
Welcome clients and their pets with professionalism, empathy, and warmth.
Manage appointment bookings, cancellations, and schedule changes.
Handle client enquiries and provide accurate information regarding services and products.
Process payments and maintain accurate financial records.
Maintain client and patient records using practice management systems.
Assist with administrative tasks.
Support the promotion of preventative healthcare plans, products, and services.
Keep reception and client-facing areas clean, organised, and welcoming.
Work collaboratively with veterinary surgeons and veterinary nurses to ensure excellent patient and client care.

About You

We are looking for someone who:

Has previous experience in a customer service and demonstrates excellent communication.
Is confident using computers and learning new systems.
Can remain calm and professional in a busy environment.
Shows empathy and compassion when supporting clients during emotional situations.
Has strong organisational skills and attention to detail.
Enjoys working as part of a team while also being able to work independently.
Has a genuine passion for animal welfare.

Previous veterinary practice experience is desirable but not essential, as full training will be provided.

About you

You’re skilled at providing exceptional client facing care, with excellent reception skills.  You’ll have good numeracy skills, with experience of using online appointment booking systems. You’re a team player who wants to make a real difference in a practice that values and supports you.

We welcome applications from candidates who are able to prioritise, can remain calm under pressure and who are flexible and willing to learn. Previous veterinary receptionist experience is desirable.

What you’ll be doing

Typically, in this role, you’ll:

  • Carry out reception duties, greeting clients on arrival, and updating records
  • Triage the impact of emergency appointments, contacting clients and rearranging as needed
  • Manage the practice diary to ensure appointment availability is optimised to team skillset
  • Answer client phone calls and manage messages
  • Ensure appointment slots are available for clients to book online
  • Process any repeat prescription order requests
  • Work collaboratively within a supportive team
