Associate – Finance Operations
Accounts Receivable & Accounts Payable
Level: Mid-level (2–6 years’ experience)
About Invensa
Invensa – Rethink. Optimise. Grow.
Invensa helps businesses build smarter, more resilient supply chains. Backed by Santander and Pemberton, we design tailored inventory and supply chain finance solutions that unlock liquidity, reduce risk, and improve performance. By financing and managing goods at any stage of the supply chain, we help companies enhance cash flow, strengthen supplier relationships, and drive sustainable growth. Headquartered in London, Invensa enables organisations to turn supply chains into strategic assets for the future.
Role Summary
The Associate – Finance Operations owns the day-to-day accounts receivable and accounts payable cycle across Invensa’s product offering, ensuring customers are invoiced accurately and promptly, and suppliers are paid correctly and on time.
This role requires someone who can build and issue invoices correctly across multiple products, price points, and customer or supplier entities using Invensa’s SAP ERP system, and who understands how purchasing and sales activity, including multi-line orders, part-shipments, credit notes, and cross-entity transactions, flows through to accurate billing and payment.
The Associate – Finance Operations maintains clean ledgers, flags risk early in coordination with the risk team, and supports the wider finance, operations, and structuring teams through month-end close and reporting.
Key Responsibilities
Invoicing & Order-to-Cash
· Assist in quotation preparation and ensure accuracy of pricing and master data ahead of invoicing.
· Raise and issue accurate customer invoices across multiple products, SKUs, price lists, and customer entities, matching invoices to purchase orders, delivery notes, and sales agreements.
· Own the accounts receivable ledger end-to-end: post invoices and cash receipts, allocate customer payments daily, and maintain up-to-date, accurate customer accounts.
· Monitor the AR ageing report, chase overdue balances, and manage credit control activity including credit checks and KYC as required.
· Investigate and resolve customer queries, disputes, and debit/credit notes, liaising with the Operations and Risk teams on order status, deliveries, returns, and customer credit exposure.
· Manage the accounts receivable inbox and act as the first point of contact for customer billing queries.
Purchasing & Procure-to-Pay
· Process and verify supplier invoices across multiple products, vendors, and cost centres, ensuring correct coding and approval before payment.
· Obtain appropriate internal approvals for supplier invoices ahead of payment.
· Maintain the purchase ledger, ensuring accurate recording of supplier invoices and credit notes against purchase orders and goods received.
· Prepare and execute payment runs accurately and on schedule, including multi-currency and multi-entity payments where applicable.
· Reconcile supplier statements monthly and review the AP ageing position regularly, resolving discrepancies proactively.
· Manage the accounts payable inbox, respond to supplier queries, and maintain strong working relationships with vendors and internal stakeholders.
· Support the finance team as needed on funding for product purchases, including occasional coordination with external funder middle offices and the internal Structuring team on raising and repaying Standby Letters of Credit (SBLCs).
Controls, Reconciliation & Cash
· Complete and/or review daily cashbooks and bank reconciliations for designated accounts.
· Complete specified balance sheet reconciliations for review, and review/code spend on company credit cards.
· Perform periodic customer statement reconciliations.
· Review accounts payable accruals and liaise with the Finance Manager or Senior Accountant to ensure accuracy.
· Apply and help improve first-line financial controls; flag errors, fraud risk, or late payments before they become problems.
· Identify opportunities to automate repetitive manual tasks, including using standard finance tools and AI-assisted workflows where appropriate.
Month-End Close & Reporting
· Ensure the sales and purchase ledgers are closed off accurately in line with the month-end timetable.
· Assist with monthly and annual close activities, coordinating with external accountants or auditors as needed.
· Gather and organise supporting documentation for audits and tax filings.
· Provide cost analysis, cash forecasting, stock reconciliations, and ageing reports to support monthly reporting.
· Support the production of recurring finance reports and ad-hoc analyses as requested.
