About the Role
We're looking for an organised and proactive Remedial Team Administrator to join our Service team in Heanor. This is a key administrative role supporting the efficient processing and coordination of remedial works, ensuring excellent communication between internal teams, suppliers, and customers throughout the lifecycle of each job.
The successful candidate will be highly organised, comfortable managing multiple priorities, and confident using business systems to maintain accurate records and provide updates to stakeholders.
Key Responsibilities
- Process and manage remedial service orders from receipt through to completion.
- Issue customer order acknowledgements and resolve any order-related queries.
- Maintain accurate records across company systems, including Protean and Salesforce.
- Log remedial works and ensure all relevant information is kept up to date.
- Monitor parts requirements and ensure materials are ordered in a timely manner.
- Proactively liaise with stores and suppliers to obtain updates on outstanding parts.
- Maintain regional parts tracking information and job status reports.
- Provide regular updates to customers, particularly where parts are subject to longer lead times.
- Coordinate the handover of completed remedial orders to regional teams for scheduling.
- Produce and discuss weekly reports on remedial jobs awaiting parts.
- Manage and distribute enquiries received through the team's shared mailbox.
- Maintain team performance and bonus tracking spreadsheets.
- Provide support to the Parts Sales Team during periods of absence.
- Assist with incoming departmental telephone enquiries.
- Support compliance with company quality, environmental and health & safety standards, including ISO 9001, ISO 14001 and ISO 45001.
About You
You'll be a strong administrator with excellent communication skills and a keen eye for detail. You will enjoy working in a fast-paced environment and be comfortable collaborating with a variety of stakeholders.
Essential Skills & Experience
- Previous administration or coordination experience.
- Strong organisational and time-management skills.
- Excellent attention to detail and accuracy.
- Confident using Microsoft Office applications, particularly Excel.
- Strong written and verbal communication skills.
- Ability to manage multiple tasks and priorities effectively.
- Customer-focused approach with a proactive mindset.
Desirable
- Experience using CRM or ERP systems such as Salesforce or Protean.
- Experience within a service, engineering, facilities, or operational support environment.
