Seneca Global Solutions (SGS) Seneca Global Solutions is seeking a full-time Records Management Support Specialist to support Army Environment, Safety and Occupational Health (ESOH) records management and transition activities for the Office of the Deputy Assistant Secretary of the Army for Environment, Safety and Occupational Health (ODASA(ESOH)). The Army is moving official ESOH records off shared drives and into approved SharePoint Online / records repositories. This position helps identify, classify, transfer, and track records; documents procedures; and serves as an alternate to the ESOH Records Management Coordinator.
Responsibilities include, but are not limited to:
- Assist with transferring ESOH official records to the ASA(IEE) SharePoint Online portal and other approved repositories.
- Help identify and classify official records versus non-record materials (including drafts, working files, and reference copies).
- Apply Army records schedules and naming/metadata conventions so files can be found, retained, and disposed of correctly.
- Track records-management requirements, timelines, and deliverables for the Integration Branch.
- Support closure and migration of shared drives, including inventories, folder mapping, and quality checks after transfer.
- Develop internal procedures, job aids, and short instructional materials for records tools, uploads, and related requirements.
- Serve as an alternate to the ESOH Records Management Coordinator, including covering routine coordination and status reporting.
- Coordinate with action officers so they know what to file, where to file it, and what not to treat as a record.
- Handle CUI and other controlled information in accordance with Army and DoD rules.
- Prepare status reports and briefings; review work products for completeness and Army quality standards.
Basic Qualifications:
- Bachelor’s degree in records/information management, library/information science, business, public administration, history, communications, or a related field; or equivalent relevant experience.
- 3–5 years of experience in records management, information management, document control, or large-scale file migration in a federal, DoD, or similarly regulated environment.
- Experience distinguishing official records from non-record materials and organizing files for retention and retrieval.
- Working experience with SharePoint Online (document libraries, metadata, permissions, and content movement)—not merely as an end user.
- Strong written and verbal communication skills; ability to write clear procedures and train non-specialists.
- Proficiency with Microsoft Excel, PowerPoint, and Word.
- Ability to obtain a Secret clearance.
- Ability to travel as required.
Desired Skills:
- Direct Army or DoD records-management experience (AR 25-400-2 / Army Records Information Management System (ARIMS), Army Records Retention Schedule, or equivalent).
- Experience as a Records Management Coordinator, Records Liaison, or alternate RMC.
- Experience migrating shared drives or file shares into SharePoint Online or another records repository.
- Knowledge of CUI marking, PII handling, and access control in collaboration sites.
- Experience with Microsoft Teams, SharePoint, Approvals, Power BI, Visio, and related Microsoft 365 tools.
