About the job

The Marketing Coordinator will support the SOVRA TRX Marketing team by providing administrative, coordination, and project management support across marketing initiatives, events, supplier deliverables, and internal workflows. This role is ideal for a highly organized, detail-oriented professional who can help keep projects moving, manage timelines and budgets, coordinate third-party suppliers, support quality assurance, and assist with minor design edits. The Marketing Coordinator will work closely with the TRX Marketing Manager and broader team to ensure marketing activities are delivered on time, on brand, and with a high level of accuracy.

What will your main responsibilities look like?

Administrative, Budget & Project Coordination

  • Support day-to-day administrative needs for the SOVRA TRX Marketing team, including project tracking, meeting coordination, documentation, and follow-up.

  • Track marketing budgets, purchase requests, invoices, supplier quotes, and approvals to help ensure projects remain on budget and aligned with internal processes.

  • Maintain project schedules, task lists, status updates, and timelines to support the TRX Marketing Manager and team in delivering work efficiently.

Supplier, Print & Production Management

  • Coordinate with third-party suppliers for printed collateral, promotional items, branded clothing, signage, event materials, and other marketing production needs.

  • Manage supplier quotes, timelines, proofs, production schedules, delivery requirements, and final files to ensure materials are produced accurately and on time.

  • Support inventory tracking and ordering for TRX-branded collateral, swag, apparel, and event supplies.

  • Ensure all printed and promotional materials align with SOVRA brand standards and program requirements before production and distribution.

  • Management of Association Tracker – ensuring we are planning for upcoming deliverables and managing these projects internally as well as working with our various external Association contacts.

Marketing Project Support, QA & Creative Assistance

  • Assist the TRX Marketing Manager and team with project management support for campaigns, collateral, events, association activities, and internal marketing requests.

  • Conduct quality assurance reviews of marketing materials, including checking for brand consistency, formatting, spelling, links, version control, and production accuracy.

  • Make minor design edits to existing assets, templates, presentations, handouts, and collateral as needed, while escalating larger creative needs to the appropriate design resource.

  • Support basic updates to marketing files, creative briefs, production trackers, and shared team resources to keep work organized and accessible.

  • Assist with simple video edits or production support when skills are available; video editing experience is considered a strong bonus.

What will you bring to this role?

  • Education — bachelor’s degree or diploma in Marketing, Communications, Business Administration, Project Management, or a related field, or equivalent experience.

  • Coordination experience — 2–5 years of experience in marketing coordination, project coordination, administrative support, supplier coordination, or a related role.

  • Organizational skills — strong organizational skills with the ability to manage multiple projects, deadlines, vendors, and details simultaneously.

  • Budget and expense tracking — experience tracking budgets, invoices, purchase orders, supplier quotes, or project expenses. This experience is essential for the role.

  • Supplier and vendor coordination — comfort working with third-party suppliers, print vendors, promotional product providers, or event-related vendors.

  • Communication and attention to detail — excellent written and verbal communication skills, with strong attention to detail and accuracy.

  • Authorization to work in the US — we are not able to sponsor work visas or transfers at this time.

What are the assets that would make you stand out?

  • Project Management – ability to manage multiple tasks, meet deadlines, and liaise with various internal and external stakeholders.

  • Design tools — basic familiarity with design tools such as Adobe Creative Suite, Canva, or similar platforms is an asset.

  • Video editing — video editing experience is a strong bonus but not required.

  • HubSpot — familiarity with marketing in HubSpot is a bonus but not expected.

  • Software or government background — experience in a software company, or in government, whether in government marketing or other work with government.

  • Procurement exposure — any background in procurement is a bonus; it is not required for this role.

What we look for in applications

When you name a tool, such as Excel, Smartsheet, Adobe, or Canva, add a brief note on what you used it to do. Specific detail about your own work tells us far more than a general summary of responsibilities.

What does success look like?

  • By 3 months: you have a solid understanding of what TRX does and how the team works, including the process for managing the marketing budget, and you manage the Association Tracker with confidence.

  • By 6 months: you contribute to a wider range of team projects, including swag and promotional orders, and you have taken on a few small projects delegated to you.

  • By 12 months: you run small projects from start to finish, take the initiative to find solutions before escalating, and have built working relationships with the TRX program teams.

  • Conversation with a Senior Marketing Manager — how you work with the team day to day and keep deliverables on track.

  • Panel with the Directors, Major Accounts — how you would support the program teams and communicate with internal and external partners.
