As a Partnerships Operations Specialist at Welcome Pickups, you will play a vital role within the Strategic Partnerships team, supporting the efficient management and development of our B2B partner portfolio. The role enables the commercial team to focus on strategic relationships and growth by coordinating day-to-day partner activities, maintaining accurate commercial data, supporting reporting and reconciliation, and driving effective collaboration across teams. Through a proactive and hands-on approach, you will help improve partner satisfaction, operational efficiency, and commercial performance.
Responsibilities
Partner Success Management
- Support the day-to-day management of existing strategic partners through regular communication, follow-ups, and issue resolution.
- Monitor partner needs, satisfaction, and performance, identifying risks and opportunities for further improvement.
- Maintain accurate records of partner requests, open actions, escalations, and agreed solutions.
CRM, Data & Commercial Reporting
- Maintain accurate, organized, and accessible partner and commercial data in HubSpot CRM — contacts, companies, partner activity, files, templates, meeting links, and calendars.
- Prepare accurate reports that support performance monitoring, commercial planning, and decision-making.
- Collaborate with the Strategic Partnerships Manager and Executives on account-specific strategies and growth opportunities.
Reconciliation & Payments
- Support reconciliation, invoicing, payment follow-ups, and the resolution of transaction discrepancies.
- Coordinate with Finance and partners to investigate differences, maintain accurate records, and close outstanding cases.
Cross-Functional Collaboration & Process Improvement
- Coordinate partner-related actions across Finance, Product, and Operations, ensuring smooth handovers and timely follow-through.
- Maintain the operational procedures, partner guides, and documentation the team relies on, and track performance and partner feedback to keep improving service quality.
- Bachelor's Degree in Sales, Communications, Business, or a related field.
- 1–3 years of experience in sales administration or a similar role, with hands-on experience in HubSpot or a comparable CRM; B2B sales exposure is a plus.
- Excellent written and verbal communication skills in English; additional languages will be considered a strong asset.
- Solid relationship-building and time-management skills, with the ability to multitask and prioritize across.
- Strong analytical skills, with the ability to interpret partner and commercial data to support reporting.
- Self-motivated, hands-on, and collaborative, with a genuine teamwork mentality.
