CSA - Sales Administration
About the role
We're looking for a motivated and detail-oriented Sales Administrator to join CSA (part of Waste Services Group) in Dandenong South. This is an exciting opportunity to join a newly established team in a growing business, where you'll play an important role in supporting sales, operations and finance. You'll help ensure completed jobs are accurately recorded, reconciled and ready for invoicing, while working closely with internal teams to keep daily operations running smoothly. This is a hands-on administrative role with a strong operational focus, ideal for someone who enjoys staying organised, solving problems and working in a fast-paced, team-oriented environment. You'll receive ongoing training and support from an experienced team member, giving you the opportunity to learn the systems and processes and grow into the role.
Key responsibilities

Reconciling approximately 60 jobs per day to ensure completed work is accurately recorded and ready for invoicing

Reviewing job details, timesheets and operator hours to ensure records align with customer requirements and finance processes

Updating internal systems and customer portals to ensure all job information is accurate and up to date

Identifying and adjusting jobs affected by weather, cancellations or changes to scheduled work

Ensuring purchase orders (POs) are attached to the correct jobs and costs are allocated accurately

Supporting operators with closing out jobs and resolving system or portal queries

Liaising with sales, business development, operations, labour and finance teams to resolve discrepancies and keep work flowing

Assisting with new client and contract set-ups, including pricing updates in the internal system

Arranging accommodation for regional jobs when required
About you

Previous experience in administration, sales support, operations administration, contracts administration or a similar role ideal

Strong attention to detail and confidence working with job records, figures, times and invoices

Good communication skills and the ability to confidently guide and support operational staff

The ability to manage competing priorities and meet daily deadlines in a fast-paced environment

Confidence learning new systems and working with Microsoft Office

A practical, solutions-focused approach to resolving discrepancies and following up outstanding tasks

A positive attitude, willingness to learn and the ability to take feedback on board

Experience in waste management, logistics, transport, construction or another operationally focused industry would be advantageous

Basic finance or reconciliation experience would also be beneficial, but this is not an accounting role
