Project Coordinator – New Tasks & QC (m/f/d) Fixed-term 18 months

Munich, Bavaria, Germany Contract 1+ yrs

About the role

At Agile Robots, we build intelligent robotic systems that learn from high-quality human demonstrations. As we scale our data collection site, we are looking for a Project Coordinator (m/f/d) to organize daily operations and make sure the site delivers the right data, on time and at the right quality.

In this role, you will plan and supervise daily work on site, coordinate teleoperators and engineers, track KPIs, and keep tasks, materials, equipment and robots ready for production. Depending on your strengths, you will take ownership of one focus area: site operations & KPIs, new task setup & quality control, site administration, or production & resource planning.

This position is ideal for an organized, proactive person who enjoys working with people and numbers, and who wants to help build a new kind of operation at the intersection of robotics and AI.

Your Responsibilities

  • New Task Setup & Quality Control (Main Focus)
    • Own the end-to-end setup of new data collection tasks together with R&D: requirements, task instructions, scene and object setup, and pilot runs.
    • Translate research requirements into clear, step-by-step SOPs and success criteria that operators can follow consistently.
    • Train and onboard teleoperators on new tasks, and verify they reach the required quality before production starts.
    • Define quality standards and run regular QC on collected data (sampling, reviews, labeling checks); document defects and root causes.
    • Give structured feedback to operators and R&D, track quality metrics, and follow up until issues are resolved.
    • Continuously improve task procedures and QC workflows to raise data quality and collection efficiency.
  • Site Operations & KPI Tracking
    • Support daily site planning and shift coordination for teleoperators.
    • Contribute to KPI tracking and reporting (e.g., output volume, success rate, robot uptime).
  • Site Administration
    • Support materials and equipment inventory, site logistics and staff administration.
  • Production & Resource Planning
    • Support robot deployment planning and spare part coordination with service engineers.

Essential Skills

  • Degree in business, engineering, industrial engineering or a related field, or equivalent work experience.
  • 1+ years of experience in project coordination, operations, production planning or team supervision.
  • Strong organizational skills; able to manage several priorities in a fast-moving environment.
  • Confident with Excel / Google Sheets and data-driven KPI reporting.
  • Good communication skills in English.

Beneficial Skills

  • Experience in data labeling / data collection operations, manufacturing or lab environments.
  • Knowledge of quality management, lean or process improvement methods.
  • Interest in robotics, AI or technical products.
  • Experience with project management or ticketing tools (e.g., Jira, Asana, Notion).

What we offer

  • A dynamic high-tech company, combined with financial soundness and world-class investors.
  • Join an interdisciplinary, international team with 60+ different nationalities in a collaborative work environment.
  • Lots of development opportunities as we continue to grow.
  • Challenging tasks and impactful projects alongside experts that enable professional and personal growth.
  • Corporate Benefits Program covering health, mobility, and learning for 100€ net per month.
  • Modern office facilities with a rooftop terrace overlooking Munich, free drinks & fruits, and regular company events contribute to a good working environment
