Role Summary
The register is the source of truth for every fund we administer, and accuracy is the job. As a Registry Officer in our Auckland office, you'll process investor onboarding, registry maintenance and capital activity for a portfolio of New Zealand and Australian private market funds. It's a hands-on role at the core of our operations, and one where you'll see the full lifecycle of an investor's relationship with a fund, from the first application through to distributions and exits.
You'll report to the Registry Manager, NZ and work within a maker and checker model, so every transaction you prepare is reviewed before it goes out. Day to day you'll work alongside fund accounting, investor response, compliance and implementation, supported by an AI-native platform built to automate the manual work so your time goes into judgment and quality.
What You'll Do
Process registry transactions for your portfolio of funds, including applications, capital calls, unit issues, redemptions and transfers.
Review and validate investor onboarding documentation, including AML/KYC, in line with each client's AML/CFT programme and the fund's trust deed or PDS.
Maintain accurate investor registers, including personal and entity details, tax residency, withholding elections, banking instructions and communication preferences.
Support distribution cycles from start to finish, including preparing batches, checking calculations and supporting payment release.
Prepare and issue investor correspondence: transaction notices, holding statements, confirmations and ad hoc letters, at a standard that reflects well on our clients.
Produce work that passes review first time, and raise exceptions and edge cases with your registry lead early rather than at sign-off.
Manage your own queue through our task system: take instructions from client operations teams, clarify anything unclear, flag delays early and chase open items until they close.
Use AI as a core part of how you work, and help us find and build ways to automate the repetitive parts of registry operations.
Support audits, compliance reviews and client assurance work with clear evidence and documentation.
Work closely with the Sydney registry team, sharing knowledge and helping keep processes consistent across New Zealand and Australia.
What We're Looking For
2+ years in unit registry, transfer agency, investor services or fund administration operations, with hands-on experience of investor registers and capital activity.
A solid understanding of AML/KYC requirements in a New Zealand context, ideally with exposure to Australian requirements as well.
Accuracy that holds up under volume and deadline pressure, and the instinct to know when a transaction needs a second opinion.
Ownership of outcomes, not just tasks. You drive work to completion without being chased, and you take responsibility straight away when something goes wrong.
Clear, direct written and verbal communication with clients and colleagues.
Genuine interest in using AI to change how the work gets done, and comfort working in a business where not everything is built yet.
Experience with registry or transfer agency platforms is an advantage.
Exposure to FATCA/CRS, tax withholding or distribution processing is a bonus.
